    Timecontrol 5.0

HMS is proud to announce the release of version 5.0 of TimeControl

TimeControl 5.0 represents a whole new generation of this long standing enterprise timesheet management product and is the result of extensive input by both the HMS Software development team and the TimeControl client community. Many of the features you will find in this version have been suggested by our own users or dealers.

TimeControl 5.0 is the first of the 5 generation. Each integer release of TimeControl has reflected a change in the fundamental architecture of the product. Version 1 was a DOS-based timesheet. Version 2 was based on FoxPro for Windows and targetted. Version 3 was the first version to support client-server databases. Version 4 was Browser-enabled and featured a true n-tier architecture.

Now, version 5 keeps with tradition by offering a completely new database connection model. Since 1997, HMS has used the Borland Database Engine and related technologies to connect with different databases. The "BDE" is no longer supported by Borland. After extensive research, HMS elected to move from the Borldand Database connection technology and embrace an ODBC data connection structure. This has resulted in a complete rewrite of the database foundation of TimeControl in a way that we believe will make the product even more extensible and certainly more performant. Along with this architecture rewrite, we've enhanced the entire look and feel of the product to more modern standards and along the way have included more enhancements, new features and improvements than in any version since version 1.0!

    Redesigned Architecture
TimeControl 5 moves from using the Borland Database Engine to an ODBC structure. This will improve performance and allow for more types of database connections from within TimeControl. This also results in direct support for Microsoft SQL Server 2005 and Microsoft SQL Server 2008, as well as new versions of Oracle.

    Updated Interface
The main TimeControl interface has undergone a complete overhaul. Existing users will recognize the familiarity of the timesheet, but the overall look and feel has been upgraded to new Microsoft Vista™ standards. The overall effect is a cleaner, easier- to-read environment. As our product has gone through so many changes, so has our documentation. Expect to see a complete overhaul in our Reference and User Guides.

    Project Management Validation
This interface has been overhauled with multiple views so that project managers are now able to view timesheet data which might be problematic for the project schedule, prior to accepting that data back in the project. Subsequently, Project Managers can take immediate action such as updating the timesheet and redistributing the hours, or, updating the Estimate to Complete for each task on the fly. TimeControl still maintains a complete audit trail of all changes made.

    Server-to-Server Project Management Links
With the new data architecture, TimeControl is now able to create links directly from the TimeControl Server to Project Management systems servers and to schedule the movement of that data to occur unattended. Project Managers and Administrators can schedule work to move at any time or multiple times per day or per week, as required.

    Scheduled Project Links
With the new Server-to-Server Project links, it is now possible to schedule transfers of activity information into TimeControl or from TimeControl to the Project Management system so that it can be done in an automated, unattended fashion. Users can schedule daily, weekly, monthly or on-demand project transfers for Microsoft Office Project Server, Primavera’s P3e, P5 and P6 and Deltek’s Open Plan.

    Multi-Level Project Management Integration
You can now integrate a Project Management system at multiple levels. Add additional detail in TimeControl beyond what is being tracked by the PM tool. Or, enter timesheet data in TimeControl at a summary level even when the project data in the PM tool is much more detailed.

    PM Link settings/project
The PM Link settings are now in the Project Table and stored for each project which means that specific settings can be maintained during on-demand or scheduled links of data. This can be superseded during PM Exports.

    Enhanced Microsoft Project 2007 Integration
HMS has worked directly with the Microsoft Project Development Team to ensure that TimeControl 5 is fully integrated into Project Standard 2007, Project Professional 2007 and Project Server 2007. There are several new and enhanced areas of functionality including:

Microsoft Project Server 2007 Publish Link
When Project publishes a schedule, it will automatically create a scheduled item in TimeControl in order to import tasks. This will result in the TimeControl charge and project tables always being up to date. Administrators can configure Project Server 2007 to update TimeControl’s charge and project lists every time a project is published.

    Server-to-Server Integration using the PSI
TimeControl’s all new Server-to-Server link moves data to and from Project Server 2007 using the new PSI protocol developed by Microsoft. This gives the interface an enormous range of additional functionality to ensure that data between the two systems is always synchronized.

Integration into the Project Web Access 2007 interface
TimeControl 5 continues the support provided with earlier versions of TimeControl and Project Server by allowing Administrators to deliver TimeControl directly within the Project Web Access menu and interface. Users are provided with an uninterrupted user experience moving from Project to TimeControl.

    Project Server 2007 Enterprise Fields
TimeControl 5 provides direct support to integrate Project Server 2007’s enterprise fields which can be updated in an automated or on-demand mode with PM Imports.

    SharePoint 2007 Integration
TimeControl can now be installed directly into a SharePoint 2007 workspace. When this is done, the TimeControl interface is presented from within SharePoint. For organizations who have selected Sharepoint as their primary structure for delivering corporate content, this feature provides users with an uninterrupted user experience when entering their timesheets.

All Tables now include notes information
All TimeControl tables have been enhanced to allow free-form notes for each table record.

    Project Table / Project Owner
The Project Table now includes a project owner field which is drawn from the User table. This allows filters, reports and other functions to be controlled within the project table.

    Current User Macro
Filters can now be created with a macro for the current user. Entering %CUR_USER% within a filter will use the current user in that filter at run-time. This will allow a filter to be created that will be much more dynamic. For example, a filter can now be defined, as compared to a rate table where only the rates that have an entry in a user-defined field equal to the name of the current user, can be displayed.

    Enable Approval Auditing
Whenever the ownership of the timesheet in TimeControl changes, the Enable Approval Auditing feature will create a log entry. This allows the movement of timesheets to be tracked within the system. This will happen each time a timesheet is released, approved, rejected or posted.

    Do Not Cache Projects
Some organizations manage thousands of projects. By default, the TimeControl timesheet loads all of these projects into the screen to be available for drop-down lists. However, when the volume is very high, this may not be desired. The “Do Not Cache Projects” option will inhibit the loading of the complete list of projects and will only validate a typed-in entry instead of fetching the entire list. The Ellipses drop down will still work as designed, but unless it is pressed, the list of projects will not be loaded. This will make a significant impact on performance for organizations who manage thousands of projects.

    Timesheet Header Fields
We’ve created a space within the timesheet header area so that selected fields can be displayed. The fields must come from the Employee table but can include any default or user-defined field.

    User Profiles / Field Security
We’ve changed the display and entry for Field Security within User Profiles. All fields are now displayed with their associated tables in a hierarchical view rather than a simple list. This makes it infinitely easier to see what fields are included and where they come from. The display shows all tables in a collapsed format, with those tables that include fields that have been secured, displayed in a bold font.

    User Profiles / Menu Security
What we did for fields, we’ve also done for menu security in User Profiles. The complete menu hierarchy is displayed and functions can then be turned on and off as before. The advantage to this feature, is seeing the results in a very graphic format.

    User Profiles / General Security
We’ve made some additional enhancements to the User Profiles security model.

    Timesheet data for PM Validation
This will allow an Administrator to restrict the data that’s displayed in the Project Manager Validation module. With all the changes in the PM Validation module, this new function becomes more important.

What projects can be seen during export
We’ve extended project security to allow Administrators to restrict what projects will be displayed during the export function. With the new Server-to-Server PM Links, this feature is much more significant.

What projects can be seen during import
We’ve extended project security to allow Administrators to restrict what projects will be displayed during the import function. With the new Server-to-Server PM Links, this feature is much more significant.

    Timesheet full-screen option
Just as in the Drill Down Analyzer, the main timesheet can now be displayed inside the TimeControl menu frame or, as before, in it’s own menu in Full Screen mode. For clients with higher screen resolution, we believe the inside-the-frame mode will be more attractive.

    User Profiles / Templates
Some organizations who have a high volume of users wish to inhibit the MyTimeControl Home Page from displaying the dashboard controls. This new flag allows the Administrator to prevent the dashboard from loading for this profile.

    Missing Timesheet Report combo
We’ve enhanced the Missing Timesheet Report to include an option to select both “missing timesheets” and “timesheets that aren't posted” in a single report rather than having to run the report twice.

    Employee Table
We've enhanced the entry and display of Vacation, Sick Leave and Personal time to two decimals.

    Employee Table
In the Employee Table, an option to pre-load the timesheet defaults can now be selected.

User Options / Timesheet full screen option
We’ve updated the User Options to allow the Timesheet Full Screen or / Inside-the-frame option to be selected as the default display for a new timesheet entry.

    Project Table / Transfer Options:

    PM Import filter option
Tasks can be filtered to show only a certain level of the project. This is where we define only a summary level of the project to be imported for multi-level integration from TimeControl to a Project Management system.

Charge Table / Sum to Task
On each charge in the Activity Tab, Administrators can elect to summarize this entry to another task. This allows detail to be created in TimeControl at a lower level than what is tracked in the project management system. This is where data is summarized to allow multi-level integration from TimeControl to a Project Management system.

    Connection Pool Table
We’ve added a new table in TimeControl to create data sources for Project Management data. With the new Server-to–Server PM Links, data may come from a variety of sources, some local and some server-based. The Connection Pool table defines these connections in a single area and then allows Project Managers or Administrators to define PM Links from a simple drop-down list of possible data sources.

    Table Search
In each table, we’ve created an incremental search on elements displayed in the left-hand table grid. As the user enters characters in the Search window, the system tries to complete the entry in the window. This makes for very fast searches. The Search function is keyed off of whatever the first field is in the grid. However, since the fields in the grid can be moved, the user can grab another field, such as a description field, and drag it to the left-hand side of the grid list making this the field upon which to search. TimeControl 5 new features

Tools / Options / Report font
Users can now select their own reporting font from the available font list. This provides an option for users to follow corporate reporting guidelines, or for users reporting in a particular language, to select the appropriate font

TimeControl Express / MS SQL Express
TimeControl Express will now ship with Microsoft SQL Express, a freeware version of Microsoft’s venerable SQL Server. This displaces InterBase as the default database for TimeControl Express.
